Homecoming Weekend: Supplying Several Events at Once

Supplying a homecoming weekend where a tailgate, a banquet, a reunion and a pep rally all draw from the same order.

Thursday night pep rally. Friday evening class reunions in three separate rooms. Saturday morning tailgate. Saturday night awards banquet. Sunday brunch for whoever is still standing. Five events, four venues, one supply order, and one weekend where nothing can be reordered.

Homecoming is not a big party. It is five different parties sharing a stockroom, and that is a specific logistics problem.

Inventory the weekend as one pool

Buying event by event is how homecoming goes over budget. The pep rally committee orders cups, the reunion committee orders cups, the tailgate crew orders cups, and you end up with three partial cases of three slightly different cups and a shortfall at the banquet.

Build a single spreadsheet with every event as a column and every item as a row. Total the rows. Buy the totals. Then split the delivery into event piles in a staging room before the weekend starts, with each pile labeled and sealed.

That staging step is the part people skip and it is the part that saves the weekend. Loose product in a shared room gets raided by whichever event sets up first.

One palette across all five events

The events look nothing alike. The pep rally is loud and casual, the banquet has linens and a program, the tailgate is outdoors on folding tables. Trying to theme each one separately triples the order and makes the weekend feel disconnected.

Running the school's two colors across everything solves both problems. The same case of dinner plates works at the tailgate and the brunch. The same table covers dress the reunion rooms and the banquet. And a guest who attends three of the five events sees a coherent weekend rather than three unrelated parties.

Carryover in school-colored solids is not waste. It goes into the next home game, the spring banquet and the department picnic. Carryover in dated or themed goods is waste, which is the whole argument for a solid backbone.

The one place to hold a genuine hard reserve is napkins and cups for the tailgate, because outdoor attendance is the least predictable number on the whole weekend and it is the event where running short is most visible.

What to cut

Cut the centerpieces at the tailgate. Outdoor tables in October with wind and food traffic destroy them, guests do not notice them, and they eat setup time you need for actual service. Put that budget into more napkins, which every homecoming weekend runs short on without exception.
