Somebody hands you a 300 person banquet with a plated entree, a dessert course, and an open bar. The count is firm. The room is booked. And the order sheet in front of you is a list of case quantities that have nothing to do with the number 300.
This is the arithmetic nobody teaches and everybody eventually works out the hard way, usually after running short on napkins at the worst possible moment. Here is the whole thing, line by line, using the case counts these products actually ship in.
Plates: count courses, not people
Three hundred guests with a salad, an entree, and a dessert is three plates per person before anything goes wrong. That is 900 plates, not 300.
Most of the dinnerware here runs 240 per case. Sturdy Style Paper Banquet Plates at 10.25 inches, Sturdy Style 8.75 inch Paper Dinner Plates, and Paper 6.75 inch Dessert Plates all come 240 to a case. So the entree is two cases of banquet plates, the salad is two cases of dinner plates, and dessert is two cases of dessert plates. Six cases total, 1440 plates against a need of 900.
That overage looks wasteful until the first tray goes down in the kitchen. It is not overage. It is the smallest whole-case order that covers the job.
Napkin case quantities run larger than you think
Napkins are where most orders come up short, because people budget one per guest and reality runs three to four. A bar-forward reception at 300 guests burns roughly 1000 beverage napkins across a night.
2 Ply Beverage Napkins come 1200 per case, so that is one case and you are covered. If you want the heavier hand feel, Beverage Napkins in 3 ply run 500 per case, which means two cases. Dinner Napkins in 3 ply are the tight one at 250 per case, so a 300 person seated dinner needs two cases minimum, and two cases only gives you 500 for 300 guests. That is fine. One and change per guest is realistic for a plated service.

Cups, cutlery, and covers
Cups get underestimated more than plates. Open bar at 300 guests runs two to three cups per person over an evening, so plan on 750 to 900. 16 oz Plastic Cups come 240 per case, which puts you at four cases. Add coffee service and 9 oz Hot and Cold Paper Cups at 240 per case means two more.
Cutlery is the one that surprises people. Assorted Plastic Cutlery ships 12 packages per case with 24 pieces per package, so one case is 288 pieces. At three pieces per place setting, one case covers 96 settings. Three hundred guests needs four cases, not one.
Covers depend on table count, not guest count. Three hundred on rounds of eight is 38 tables, plus a head table, two gift tables, registration, and cake. Call it 43. Plastic Table Covers 54 by 108 run 12 per case, so four cases. Tableskirting for the head and cake tables comes 6 per case at 29 inches by 14 feet.
The buffer nobody budgets for
- Entree plates: 2 cases at 240 each.
- Salad or dinner plates: 2 cases at 240 each.
- Dessert plates: 2 cases at 240 each.
- Beverage napkins: 1 case at 1200, or 2 cases at 500 in the 3 ply.
- Dinner napkins: 2 cases at 250 each.
- Bar cups: 4 cases at 240 each. Coffee cups: 2 cases at 240 each.
- Cutlery: 4 cases at 288 pieces each.
- Table covers: 4 cases at 12 each. Tableskirt: 1 case at 6.
Now the part that gets left out. Roughly one guest in ten takes a second dessert plate at a buffet. Staff eat. Vendors eat. Somebody drops a stack. A late RSVP shows up with a plus one nobody logged. None of that is in the confirmed count.
The buffer is not something you add at the end. It is already built in when you round every line to the next whole case, which is why the whole-case discipline works. What you should not do is shave a case to hit a number. A short line at a 300 person event is unrecoverable on the day.
Everything above lives in solid color tableware, and if you are running a neutral base, white tableware carries every format on that list. Classic red tableware is the deepest accent color if the event needs one.
