Six hundred meals, forty volunteers, a parish hall with two doors, and a serving window that runs from eleven to two. Somebody has to decide in September how many cases of everything to buy, and that somebody usually has no purchasing background and a committee to answer to.
A community Thanksgiving meal is not a scaled up dinner party. It is a throughput operation, and the supply list should be written that way.
Count touches, not covers
Six hundred guests does not mean six hundred plates. It means six hundred plates plus the ones dropped, the ones taken for a second trip, and the ones used by volunteers who eat in shifts. Plan on about one and a quarter plates per guest and roughly two and a half napkins.
Cups are worse. If you serve coffee alongside a cold drink, budget two cups per guest and do not argue with the number. Every community meal coordinator who cut that in half has stood in a store parking lot at half past noon.
